Tips on how to manage competing priorities with ease

This process is great for when you have many jobs with competing priority. It is also great if you have one big job or project that needs to be done like a report, but lots of little niggly things that are getting in the way that you want to or need to do. It is also great if you are, for example trying to get that study completed, but suddenly the in-box is taking priority. Or when there is just too much to get done, for example before or after holidays.

Start by listing the jobs to be done and add 10 / 20 / 30 after each one. Eg here is a list from last time I got back from holidays:

  • catch up pile 10 / 20 / 30
  • finalise BAS 10 / 20 / 30
  • clear emails 10 / 20 / 30
  • finalise client records 10 / 20 / 30
  • ezine 10 / 20 / 30

Now just do each item in order for 10 minutes crossing off the 10 time block as you complete it… this helps with the satisfaction quotient. Then move back to the top of the list to do each item for 20 minutes, again crossing off each time block, then back again to the top of the list to do each item for 30 minutes.

You may well find that halfway through the 10, 20 or 30 minutes you have the job completed. It is then completely crossed off the list. You may also find that you stall and can’t do more on a job when you are only part way into your time block. Cross off that time block and move onto the next item.  

This is a great way to get the niggling stuff done while gradually honing in on the big job. You will find that once you have gone through the list a time or two your brain will be more than ready to take on that big project.
